Yes — the intake form now includes an Excel template that allows you to bulk upload multiple requests at once.
How fast can space be secured?
Currently, demand for space exceeds space availability. We appreciate your patience as we continue to build and expand our available inventory to meet agency needs. Once agencies agree and a match is in place, the administrative process can take as little as 14 days.
Will furniture be provided?
This will vary — some host agencies have available desks and private offices, but others may only have open space. If a specific location requires furniture, options will be explored at that time.
Will Wi-Fi be available?
This will vary — some host agencies have available public or guest Wi-Fi, others may not. If a specific location does not offer a Wi-Fi solution for the sharing agency, options will be explored at that time with the host and sharing agencies.
Additionally, we are actively working to provide high-speed internet solutions for shared spaces in the near future.
Are agencies required to use the template MOU?
Yes — using the template Memorandum of Understanding, or MOU, is required for space matches in GSA owned/controlled space. However, if a proposed revision is agreed upon by both agencies, additional evaluation may be had on a case-by-case basis.
How does billing work?
Space Match rent charge or credit — billing
- The signed Space Match MOU establishes the terms and conditions under which agencies will utilize space within the hosting agency’s dedicated occupancy.
- Participating agencies will be billed and credited via billing adjustment on a central billing occupancy agreement, or OA, assigned to 1800 F Street and reflecting zero square feet — signature/approval will not be required.
- Central billing OAs will be billed twice a year — in March and September — for any space occupied or lent over the past six months.
Space Match rent charge or credit — calculation
- Rent — calculated assuming 150 usable square feet, or usf, for each person from the sharing agency that occupies the space. The usf will be multiplied by the host agency OA’s rentable/usable, or R/U, factor and then multiplied by the host agency OA’s shell and operating costs.
- Credit — The host agency will receive a matching rent credit on the central billing OA.
- (Number of full time employees x 150 usf x OA R/U factor) X (shell rate + operating rate) = Annual Rate.
